Musician invoice template: free band invoice with deposit and balance

By Noam Bargil, bandleader of Benga Band and founder of RunTheBand. Updated 2026-11-05.

A clear invoice gets you paid faster. A vague one ("Band, Saturday, €3,000") gets forwarded to the client's accountant, comes back with questions, and lands in the next payment run. Here is what a gig invoice needs, a template you can copy, and how we split it into deposit and balance at Benga Band.

What every gig invoice must include

Rules differ per country, but in the EU and the UK an invoice from a VAT-registered business usually needs:

  1. A unique, sequential invoice number. For example 2026-041. Never reuse or skip numbers.
  2. Invoice date and date of the performance.
  3. Your details: name or company name, address, and your VAT number if you are registered. In the Netherlands, also your KvK number.
  4. The client's details: name and address. For a business client, its company name and, when VAT is reverse charged, its VAT number.
  5. A clear description: "Live music by [band name], 6 musicians, wedding of [names] at [venue], [date], 2 sets of 60 minutes".
  6. Amounts: the amount excluding VAT, the VAT rate, the VAT amount and the total. In the Netherlands, live music is usually taxed at 9 percent.
  7. Payment terms: due date, bank details (IBAN) or a payment link, and the reference to use.

If you are not VAT registered (for example under a small-business scheme), leave VAT off and say why, as your country's rules require. In the US, sales tax rarely applies to live performance fees, but check your state.

Deposit and balance invoices

For weddings and events booked months ahead, send two invoices:

Each invoice gets its own number. The balance invoice should mention the deposit already paid, so the client sees the full picture. More on this in how much deposit to take.

Frequently asked questions

What should a musician put on an invoice?

An invoice number, the invoice and performance dates, your and the client's details, a description of the performance, the amount excluding VAT, the VAT rate and amount (if you charge VAT), the total, and how and when to pay.

Do musicians charge VAT?

It depends on the country and your registration. In the Netherlands, live performances are usually taxed at the reduced 9 percent rate. In the UK you only charge VAT if you are VAT registered. Ask your accountant what applies to you.

Should I send one invoice or two for a wedding?

Two: a deposit invoice when the contract is signed and a balance invoice before the event. It confirms the booking early and avoids collecting money on the night.

When should a band invoice the balance?

About one week before the event. That leaves time for the transfer to arrive and for one reminder if needed.
