By Noam Bargil, bandleader of Benga Band and founder of RunTheBand. Updated 2026-11-05.
We make RunTheBand, so it is on this list. To keep it useful, every tool below is judged on the same questions, including ours: who is it built for, what does it cost, what does it do well, and where does it fall short. Prices are the lowest monthly price on each vendor's own website, checked between May and November 2026. Check the vendor's site before you decide, because prices change.

Before the list, the questions that matter most for a working band:
Best for: wedding, function, party and cover bands, and small agencies running several acts.
RunTheBand is built around the band, not around a generic client list. Enquiries land in a pipeline, you send an interactive offer page with packages that the client accepts online, the contract is signed from a private link, and deposit and balance invoices follow automatically. Each gig has a lineup with musician fees, availability requests, a call sheet and a musician portal. An AI assistant turns an enquiry email into an event, drafts contracts and call sheets, and answers questions from your own booking data. There is also an MCP connector for Claude and ChatGPT.
Built by Noam Bargil, who runs Benga Band in Amsterdam (85+ events) on it. See RunTheBand.
Best for: event and wedding bands in the US and Canada.
Built by the bandleaders of a Vancouver event band. Musicians and crew are free and unlimited on every plan, and the Pro and Agency plans can pay musicians automatically through PayPal after each gig. Gig sheets, contracts, invoices and multi-company management (Agency plan) are included.
Best for: UK bands and agencies that want a mature, proven tool.
A UK tool with 2,500+ active users by its own count. Its strength is the musician side: a member portal where players confirm availability and submit invoices, plus a client portal, enquiry forms for your website, setlists and equipment tracking. It also offers free calculators.
Best for: DJs, photo booths and event businesses that also book bands.
A polished booking system with mobile-friendly proposals, contracts, payments and lead forms. It has a dedicated page for live bands, but most of its customers and content are DJs and photo booths. It offers an MCP server so Claude or ChatGPT can query your bookings.
Best for: small bands on a tight budget.
An Italian tool with quotes and contracts that clients accept with a click, a pipeline from lead to booking and payment tracking. It publishes a lot of practical content for wedding bands.
Best for: Dutch bands and agencies that mainly need a shared calendar and availability.
A Breda-based tool, live since 2019. Options, bookings and rehearsals go in a shared calendar, members get availability requests, and freelancers get automatic block dates across all their groups so they are never double booked. It has an iOS app for members and a contract module that fills quotes and contracts from the booking and lets the client sign online.
Best for: German-speaking bands and DJs that want AI help with contracts.
A German tool with a booking form, enquiry inbox, shared calendar, invoices and setlists. On its top plan, an AI agent drafts contracts for you to approve.
Best for: UK solo entertainers such as magicians, wedding singers and DJs.
Around since 2011, built by a working magician. Enquiries, contracts, invoices and UK VAT, with an iOS companion app.
Best for: booking agencies with touring artists.
Agency software for rosters, offers, contracts, settlements and tour reporting, with free accounts for the artists an agency represents.
Best for: booking agencies and artist managers in Europe.
Dutch software for agencies: bookings, contracts, invoicing and settlements, with free accounts for artists. It has a read-only MCP server for AI assistants.
Best for: setlists, charts, lyrics and rehearsals.
A popular stage and repertoire tool. Great on stage; not built for selling gigs, contracts or client invoices.
Best for: photographers, planners and creative freelancers.
A well-known client management tool many bands start with. Proposals, contracts, invoices and scheduling are solid.
Most tools offer a free trial. Put one real enquiry through each tool you shortlist, from first reply to signed contract, and see which one takes the least work.
It depends on what you run. For wedding, function and cover bands with changing lineups, RunTheBand, Back On Stage and Band Pencil are the most complete. RunTheBand is built AI-first with every AI feature on its one plan; Band Pencil added AI in October 2026, with the assistant on its top plan; Back On Stage is strong on musician payouts in North America; Band Pencil has the longest track record in the UK.
Yes. RunTheBand has AI built in (enquiry to event, contract and call sheet drafting, questions about your bookings). Band Pencil added AI event creation in October 2026, with its AI assistant on the Ultimate plan. connactz drafts contracts with AI on its top plan. Check Cherry and Stagent offer MCP connectors so Claude or ChatGPT can read your data.
BandCalendar and connactz have free plans, and BandHelper is very cheap. Free plans usually limit contracts, invoices or the number of events.
A tool built for bands: HoneyBook has no lineups, deps, call sheets or musician fees. RunTheBand, Back On Stage and Band Pencil all cover those. More in HoneyBook alternatives for musicians.
A spreadsheet works for a handful of gigs a year. Once you send offers, contracts and invoices every week and book deps for most gigs, a dedicated tool saves hours per booking and stops double bookings and missed payments.
